TEXT OF DECEMBER 18, 2002 MEMORANDUM TO VICE PRESIDENTS, PROVOSTS, DIRECTORS AND FACULTY FROM UNIVERSITY VICE PRESIDENT FOR ACADEMIC AFFAIRS JOSEPH J. SENECA REGARDING GRADES AND SOCIAL SECURITY NUMBERS (View Senate Resolution on this subject):
 

The Family Education Rights and Privacy Act (FERPA) protects student privacy, by among other things,
generally prohibiting the public release of education records (such as grades) or of certain personally
identifiable information (such as the SSNs).  In an effort to safeguard our students' privacy, I remind you of the
University's policies and request your cooperation in adhering to the following practices:

1)  Please consider alternative to posting grades using full or partial SSN.

2)  Never post course or exam grades (whether outside your office door or on the web) with student names
and SSNs linked.

3)  Even if you delete names, please do not post grades using the full social security number for a student in
circumstances where someone other than the individual student could view the information.

4)  If you have previously posted grades using the SSN via the Internet, please delete any such outdated web
page.  Students and former students have reported finding old pages containing their SSN on the web via
generally available search engines.

These restrictions are necessary to help protect the privacy interests of our students. Students are now able
to obtain access to their final grades through procedures established by Administrative Computing Services,
so faculty may wish to consider the usefulness of posting grades in any manner.
