Responding to Ken Swalagin's (on behalf of the Senate Executive Committee) request for information on process of election of Alumni Senators
 

The following is information in response to your memo of May 1, 2002 regarding the process of electing alumni representatives to the University Senate:

*       There are 18 autonomous alumni associations that represent the degree-granting schools and colleges of Rutgers University.  Some of the
associations represent more than one school.  For example, the Rutgers Alumni Association is comprised of alumni from the following colleges:

                Rutgers College
                Former College of Agriculture
                College of Engineering
                The Graduate School
                Mason Gross School of the Arts (Graduate and Undergraduate)

*       Each of these associations is recognized by the Internal Revenue Service as a 501(c)(3), not-for-profit organization and each has a membership program (solicit membership dues).  Each is governed by a constitution which includes (in one form or another) an annual meeting and board of directors.  Some include a larger "alumni council."

*       The Alumni Federation is comprised of the 18 alumni associations. The governing body of the Federation is its Board of Representatives, which is comprised of the following:

                - Two representatives from each association (elected or appointed by each association in a manner determined by each
association)
                - Three alumni elected at-large (by the Alumni Federation Board of Representatives)
                - Six Alumni Representatives to the University Senate
                - Five officers (elected by the Federation Board of Representatives)

*       The six alumni senators are elected by the Alumni Federation at its March meeting.  Nominations are proposed by the Nominating Committee of the Federation.  Nominations are received from the member associations.

*       The Nominating Committee considers the following in making its nominations:

                -  The participation by the alumnus in the activities of their association
                -  The campus and constituency they represent
                -  Their willingness and ability to make the commitment of time to serve
                -  The professional and volunteer experience they can bring to the Senate
                -  When considering alumni for reelection to the Senate, their meeting attendance record (Senate) is reviewed

*       The Federation Constitution makes the Alumni Senate Representatives ex-officio and voting members of the Federation Board of Representatives. That fact also limits their term to no more than six consecutive years.

*       The Federation Bylaws provide for the Nominating Committee to prepare a slate of officers and senate representatives and provides that those nominations be mailed to the members of the Board of Representatives not less than three weeks prior to the election and does not preclude nominations from the floor at the annual meeting.
 

Regarding the question concerning the student senator who would like to become an "alumni senator from the Rutgers Alumni Association," I would suggest the person contact that association (Keri Demayo in the alumni office:  932-6774) and volunteer to serve on a committee.  At the present time, there are no vacancies for alumni Senators, but they could also write to the RAA and express an interest in serving as an alumni representative to the University Senate.
